How Xactimate Organizes Every Estimate

Xactimate categories are the organizational system that groups every line item by trade or work area, and correct category assignment directly affects O&P calculations and XactAnalysis review outcomes. Every line item you add to an estimate lives inside a category. Roofing items go in RFG. Siding and exterior work goes in EXT. Electrical in ELC. Painting in PNT. The category determines how the estimate is organized, how the carrier reviews it, and how overhead and profit calculations apply.

Get the categories wrong and the estimate looks sloppy at best, gets flagged for rejection at worst.

Each category has its own set of line items with pre-loaded pricing from the Verisk database. When you select a line item, it automatically populates under the correct category - but manual entries and custom items need to be placed in the right category by the estimator.

Why Category Assignment Affects Your Money

Correct category assignment directly impacts O&P calculations and XactAnalysis review. When a carrier runs your estimate through XactAnalysis, the system checks whether items are categorized properly. Miscategorized items get flagged, which delays the review and gives the desk adjuster a reason to push back.

More importantly, the number of categories with line items in them is what triggers the O&P conversation. Multiple trade categories on a single claim support the argument that the job requires general contractor oversight. If you lump everything into one category when it should be spread across three, you are undermining your own O&P case.

Getting Categories Right When Converting PDFs

When you receive a carrier's scope as a PDF and need to convert it to an ESX file, category mapping is one of the trickiest parts. The PDF shows line items in a flat list. Xactimate needs them sorted into proper categories with correct selector codes. Manual re-keying introduces category errors because the person entering data has to know which category each item belongs to.
