They rely on photographs, documentation, and Xactimate estimates submitted by field adjusters, contractors, or homeowners. As carriers invest in technology and look to reduce costs, desk adjusting has become the default for an increasing share of property claims.

For contractors, this means the person deciding whether your line items get approved has never set foot on the property. Your documentation has to tell the entire story.

How Desk Adjusters Work

Desk adjusters receive claim files that include the FNOL report, inspection photos, the Xactimate estimate, and any supporting documentation. They review the scope against the photos, check line items against carrier guidelines, and either approve, modify, or return the estimate. On supplement reviews, the desk adjuster compares the original scope to the supplement request and decides whether the additional items are justified.

Desk adjusters often handle high volumes. A desk adjuster reviewing 15 to 20 claims per day does not have time to puzzle over disorganized photos or vague documentation. Clean, well-labeled submissions move through faster.

Working Effectively With Desk Adjusters

Since the desk adjuster cannot see the property, your documentation does their inspection for them. Label photos clearly. Organize them in logical order: overview, then area shots, then close-ups. Write notes that explain what each photo shows and why each line item is necessary. When filing a supplement, include a clear narrative that walks the desk adjuster through the additional items and references specific photos. Making their job easier makes your approval faster.
